Wedding Diary of a Stressed Out Groom!!

Hi, my name’s Dave and I am a groom-to-be who is stressed about the planning of his wedding. There…I admitted it. And I’m quick to add (mainly because she’ll read this) that it’s not because I’m engaged to Bridezilla.

It’s said that as a groom, all you need to do is take your credit card to every wedding fair and show up on the day and I would agree to a point. What they don’t mention is that, even if you believe you are the most level-headed individual you could ever want to meet, there will be times when you are debating the shade of purple of the ribbon on the invite to the degree where you would happily jump through the nearest window to escape the reality of your existence.

I am one of the lucky ones. My fiancée picked her dress in the first shop she went to, picked the second venue we went to, chose the invites from the first shop we went in. So far, so good right?

Then she dropped the bomb on me – you’re sorting the entertainment. Sorry what now? ‘You know what I like so I’ll leave it with you’. Never has a wave of fear washed over me so quickly. As an Entertainment Coordinator for one of the leading agencies in the North-West, you’d think I’d be in the best place to find entertainment for my wedding and you’d be right but looking at the sheer range of what was available and *whispers quietly* not really knowing what my fiancée would want, I started to panic.

After a drawn out period of negotiation with my dad to get him to pay for it, I started to look at wedding entertainment from a new angle. As a buyer, not a seller and, my word, it’s a biiiiig job to take on. I found myself asking all the questions that I’d dismissed as basic to every bride who called or emailed about booking a band for their wedding; what should I book, how do I book, , how big a band do I need, will everyone like them, what if they cancel and most importantly, how do I pay for it?!?!

Suddenly, I turned into Groomzilla. I wasn’t that guy……was I?? Turns out I was. As a result, I thought it might be useful to put together a few answers to the 6 common questions that always arise when people book wedding entertainment because, as I found out, it can be quite stressful!!

  1. Don’t be worried if you aren’t certain what you want!

The whole point of using an agency is that you have access to hundreds of bands, trios, duos, solo singers and other entertainment you wouldn’t even know existed! If you’re not sure what you want, any agency worth their salt will act as an advisor rather than a salesperson to make sure you have as much information as you need to make the right choice for you. Entertainment can be absolutely anything; magic, caricaturists, stilt walkers and everything in-between. There’s no right or wrong, just what makes your day special and unique to you. Trust me, whatever you want, we’ve probably had stranger requests!!

  1. Don’t be afraid to tell us your budget

A lot of people thin that by giving a budget to an agent they are revealing a target to be hit. For any reputable agent, this is definitely not the case. A good agent will try and find you the type of artiste you and get the best they can within the budget you specify without trying to overcharge. A lot of artistes also offer DJ package so you can save money on a separate DJ. Most of us won’t go out of our way to squeeze every penny we can out of you…..Honest! It’s all about making sure you have the best day possible, not making the most profit.

  1. Book Early! (Especially if you have a wedding in June, July or August!!)

As much as we’d love to be able to clone every band we represent, the technology doesn’t exist yet so if you’re getting married in ‘peak wedding season’ (June, July or August) and you want live entertainment, make sure you get in early so you have the best chance of getting what you want. As much as we like to think that every band/singer we represent is amazing, entertainment is subjective so enquire early to make sure you get your favourite.

  1. How can I pay?

Every agent I’ve ever worked with will ask for a deposit at the time of booking, usually between 15% – 20% + VAT. Some agents can be flexible with the deposit payment (I know we are) if you just ask; waiting for payday is a popular one!! The final balance is usually requested 1 month in advance for both the band and the client’s benefit. It means you don’t have to worry about dealing with cash on your wedding day and you can concentrate on having a good time. It also means that the band won’t be pestering you for cash after they’ve finished! The balance can also generally be paid in installments if you need to – as you’re booking through an agent, they generally try to make the process as smooth as possible. Makes sense, right?

  1. Will I be able to speak with the person I’ve booked?

Yeah, of course! The artiste will contact you in the month before your wedding to go through every detail and make sure you’re fully comfortable with what you’ve booked. That being said, if you do have a particular song you want, i.e. your first dance, or any specific requests, then let us know as soon as possible and we can pass on any messages to the artiste. It’s as easy as that!

  1. What happens if the band can’t make it on the day?

This is unlikely, but as your live entertainment is a human being, this cannot be ruled out. As much as we’d love entertainers to be robots who don’t get ill, breakdown or have lives outside of singing, we found that people prefer humans. Before you confirm your booking and pay any deposit, check that your agency of choice operates a full emergency standby service where an entertainment advisor will do everything possible to provide the best solution to any situation. If they don’t, put your credit card away and back away slowly. To be honest, every agent I know does. Trust me, as someone who’s had to do it, no stone is left unturned and no avenue explored when it comes to sorting an issue with a booking, especially at a wedding!!

So there you go, an attempt at answering the 6 most common questions that we get from people, like me, who are booking entertainment for their wedding. I know there are hundreds of questions but if I tried to answer them all, I’d miss my own wedding next year and, as much as they’d have a great band entertaining them, I’d like to think I’d be missed. What do you love most about your performing with the band?
The essence of live horns – they really add something to create the vibe. You can’t beat a live band and the ambience created by double bass, horns and piano. Its also an act that stretches a musician which is a satisfying challenge when performing. The horns and vintage look always impress guests.

Tell us a little about the swing show.
We take you through all the classics of male and female Jazz, Swing and Jump Jive singing. Featuring songs by the Great Ella Fitzgerald, Nina Simone, Peggy Lee, Nat King Cole, Sinatra, Bobby Darrin and Rat pack. It doesn’t just focus on that though – it caters for Weddings, Events and Parties with a lively second spot featuring tunes by Caro Emerald, Ray Charles, Louis Jordan and Cab Calloway.

Do you have a most memorable moment of an event you have performed at?
The band is mainly booked for the Corporate Event, Private Function and Wedding Markets and we are very lucky as we do get to perform at some lovely venues, often with stunning views and beautiful surroundings. One of my most memorable gigs was to a packed room full of 500 university students dancing all night in Liverpool at their annual ball. Proof that Swing, Jazz & Rat Pack music is timeless and can appeal to all ages.

What type of show can a client expect from a swing band?
It of course depends upon the nature of the band – However they can expect to hear a variety of Swing and Rat Pack Classics from us but don’t surprised if we throw a modern track in swing or jump jive style…it really works! Some Swing is Mid tempo – so make sure your act has a lively second spot to fill the dance floor – that’s the reason why Doo Wop and Swing Jive/ Jump Jive is a great addition – and the singalongs like Minnie the Moocher really get the party started. You can expect them as a Jazz Quartet with double bass key and drums, A Six piece with two horns additionally, or up to a big band if your budget permits with full trumpet, trombone and sax section for the truly authentic sound.

Do you have any favourite songs you like to perform?
Love ‘Unforgettable” as it was my Grandad’s favourite – love ‘My Baby Just Cares’ – as there is a great solo – and the audience love it – but the jump jive stuff is what really gets the party started.

There are many important questions to ask and answers required when choosing your wedding entertainment supplier. Below is our responses to some of the most frequently asked questions

Q. How do I choose the artiste which is right for my wedding?

A. Our website contains hundreds of artiste profiles of different music genres from all over the UK. The majority of artiste profiles contain audio clips, photos, video clips, song lists, testimonials etc to help you in your search for the perfect live entertainment for your wedding

Q. Can I speak to an experienced entertainment advisor who can help me further in choosing my wedding entertainment?

A. Yes, we positively encourage this! Our office is open Monday – Friday, 9am – 5.00pm. All of the artistes on the website have been seen performing live (often many times) by a member of the booking team who will listen to your requirements, provide advice and recommend the most suitable live entertainment

Q. I would like to see the artiste perform live before I proceed and book

A. Understandable, but not always practical and possible. We can only provisionally hold a date on one of our artistes realistically for a few days. Our artistes perform at many weddings and functions throughout the UK and these may not be open to the public for obvious reasons. It may be a few weeks or even months before they have a booking which is open to the public, in this time your artiste may not be available on your chosen date leading to disappointment. Garston Entertainments advertised wedding singers, bands and entertainment is carefully selected, quality and reliable live entertainment. Your entertainment advisor will honestly and professionally advise and recommend the artiste most suitable for your wedding

Q. How do I know that the wedding singer or band that I choose is the one I will see at my wedding?

A. Simple, everything you see and hear on our website is what will perform at your wedding if you choose to book. Personnel in bands particularly do change from time to time and we are vigilant in maintaining our knowledge of each individual band and its` members. If a member change does not alter the quality of the band in a negative sense then we will continue to allow the band to honour existing bookings. If the band has a major change of line up or the singer is replaced we will review the band and advise any client with an existing booking, that there has been a significant change and consequently either reassure them to continue with the booking or recommend replacing with a quality alternative band

Q. If I book an artiste with Garston, how secure is my booking?

A. When you book an artiste with Garston Entertainments you have the security and peace of mind of dealing with a professional company that was established in 1978. Every year we supply live entertainment to thousands of events, functions, venues and weddings. Garston Entertainments use industry approved contracts. The contracts are legally binding and cannot be cancelled except in the case of a fatality, illness, force majeure, war, act of god etc. Full terms will appear on the contract

Q. Why book with an agency and not direct with the artiste?

A. There are many beneficial reasons to secure your wedding entertainment with Garston Entertainments, please see 10 top reasons to book your wedding entertainment with us. Other essential points to consider and common misconceptions are that artistes are not necessarily cheaper by booking direct! They may be performing many bookings with us per year and therefore we have buying power to secure the most competitive price.

Our office is a full time structured organization that books and deals with artistes in a professional capacity every day of the year. Artistes have a responsibility to us when performing on our bookings to uphold our reputation and to adhere to our codes of conduct. A direct booking with an artiste may not be contracted which could lead to them not turning up, or cancelling to accept a better/higher priced booking.

We are full members of the largest trade association of its kind (The Agents Association of Great Britain) and as such adhere to a strict code of conduct. For security, peace of mind, quality and professionalism, book your wedding entertainment through Garston Entertainments

Q. What happens if the artiste cancels due to illness/accident?

A. This is unlikely, but as your live entertainment is a human being, this cannot be ruled out. Firstly, full evidence from the artiste – example – medical note, breakdown report etc would be required from the artiste within 7 days. Secondly, Garston Entertainments has a superb network of artistes and will utilize our experience and contacts to seek to offer a similar standard artiste as a replacement. We operate a full emergency standby service till 9pm, 365 days of the year, where an entertainment advisor will do everything possible to provide the best solution to any situation that may occur

Q. Can I speak with the artiste directly before my Wedding?

A. Once you have booked your live entertainment with us you can update your entertainment advisor at any time with any additional information example, first dance, wedding itinerary etc. These will all be forwarded and confirmed with your chosen wedding entertainer. If you would then like to speak directly with your artiste then this can be arranged a few weeks before the wedding.

Q. Do I have to pay a deposit?

A. In order to secure your booking, Garston Entertainments will require a small deposit (usually approximately 20% + vat of the total fee). This deposit is none refundable. However, If the artiste cancels due to illness/accident/fatality we will seek to offer a suitable, replacement artiste (s). If you decide not to accept the replacement(s) offered then we will refund 50% of your deposit paid. The remaining 50% deposit balance will be retained by Garston Entertainments towards ours administration costs in maintaining the booking

Q. What Payment methods do you accept?

A. We accept cheques, postal orders, BACS payments and direct payments into our business account.

I love going to different places, venues and meeting lots of different people and characters at my performances.  I really enjoy performing and entertaining people and especially enjoy being part of peoples special occasions at weddings and parties.

Tell us a little about the shows you offer….

I perform 3 shows as well as my standard show performing a mix of classics right through the decades with classic pop hits from the 50’s right through to the latest chart hits.

I also perform an acoustic ‘Live Lounge’ show where i perform with my acoustic guitar and loop pedal a range of acoustic pop covers stripped right back to the core of the song.

Perfect for corporate events, wine bars/restaurants and weddings. I perform classic songs where i also create multiple guitar parts and vocal harmonies looping elements of the song for creative rich songs.

I offer a tribute to Britpop show, ‘Britpop Anthems’ featuring classic tracks from the 90’s Britpop genre perfect for the indie lovers out there.

I also perform an 80’s tribute show ‘Smash Hits of the 80’s’ performing great range of songs from one of my fav genres of music, featuring synth pop, guitar rock ballads and some of the alternative hits from the 80s years.

Do you have a most memorable moment of an event you have performed at?

I perform at Manchester City writing and performing original comedy songs about match days and players and i also arranged and recorded an new version of the clubs song Blue Moon. I sang this on the pitch just before City played Manchester United in front of forty seven thousand fans in an electric atmosphere. As a big City fan it was an amazing experience and a memory i’ll hold forever.

What kind of requests do you get for weddings?

Amongst performing numerous first dance songs for couples weddings i have often been asked to write and perform an original comedy song about the bride & groom and how they met. With information provided separately by the bride and groom I have made song about them giving a totally unique twist to the day and a personal touch for the wedding couple.

Do you have any favourite songs you like to perform?

I make and produce my own little mash up songs of classic hits and party tunes that I blend together to keep the dance floor rocking. I also love to sing ballads that are often hits from female singers. Some of the classic songs from over the years are also great to perform, they have stood the test of time and its great to perform them knowing they are sure to get people on the dance floor.

As a guitar player and Manchester musician I am a fan of some of the all the Manchester bands and artists like Oasis, Stone Roses, Happy Mondays as well as the great indie /guitar tunes from the great guitar bands past and present.

I offer 4 packages, my standard show covering all hits from the decades right up to chart hits of today, an acoustic ‘Live Lounge’ show.

A britpop tribute and an 80’s tribute show.

I can also DJ classic wedding/party sets and can beat mix if you are more into clubbing tunes and funky house sets

If you are thinking about hiring a band for your wedding, party, corporate event or function and not sure where to start, then this blog can help you choose the right band!

Booking a band may seem a bit daunting with so many to choose from but with our professional advice, knowledge and guidance, we can help make the whole process an enjoyable experience

How much do bands cost? What do the bands bring with them? Will they learn my first dance song? Do they provide a DJ service? How long do they play for?  Lots of valid questions that you need answers for when hiring your band

1. What style of music should I have at my event, function, wedding?

For a wedding or private party, this is mainly down to personal taste although you may need to also consider what type of music the audience you are inviting will enjoy. Many corporate, wedding and events bands have a large and varied set list so they can adapt their live set list on the night to suit the audience and ensure they get the party going!

For corporate events you need to consider live bands that suit the theme of your event and that will impress your clientele/audience. Some events require more of a `background music`feel and therefore more of a laid back function, jazz or acoustic band may be the best option, other events require a high energy party band that engage the audience and fill the dance floor.

At Garston, we have hundreds of viewed and approved live bands based nationwide across the UK. We have live bands that cover most popular genres of music including 60s to modern hits, swing & jive bands, soul & motown bands, ultra modern party bands, decade themed bands (such as 70s, 80s & 90s bands), tribute bands, jazz bands, rock & roll bands and much more.

2. What size bands are available?

Live bands are generally around 4 to 5 piece, however we have bands available from 2 piece up to 32 piece bands, so the list of possibilities is endless. We have bands to suit all venues/spaces and to suit all tastes of music.

3. DJ Service or Background Music?

Some bands offer a DJ package or Background Music as part of their services. A DJ Service is different to a Background music or Ipod service.  If the band provide a DJ Service, this means you get the additional DJ service with a member of the band operating the Disco equipment, accepting on the night requests and making announcements as required

If the band only provide an iPod Service or a ‘Background Music’ service, it is important to know that this is a pre-recorded music service that is not manned by a live DJ. There are no live requests available. Knowing the difference between these is important when considering which band to hire.

4. PLI & PAT?

Six letters that cause the most confusion when hiring live entertainment. If you have booked a venue, more than likely they will request the PAT & PLI of any artiste you have booked.

PAT – Portable Appliance Testing – this is a certificate that shows all the equipment has been tested by an electrician and is safe to use. Every professional performer by law must have their equipment PAT tested.

PLI – Public Liability Insurance – every professional entertainer must be covered by Public Liability insurance by law and will have a copy of this certificate that you can show to your venue.

When booking your band, be sure to check with your booking agency/band that they have all the necessary safety and legal documentation.

5. When is the best time for the band to set up?

This varies from event to wedding to party. However, ideally, a band would need approx 1 hour – 1 hour 30 mins to set up and sound check in a venue. For weddings the best time to do this is when the venue are ‘turning the room round’ in between your wedding breakfast and evening reception. For other events, approximately an hour to two hours before your guests are due to arrive is enough time for them to set up and be ready to perform.

6. Why should I use an entertainment agency to book my band?

The first advantage of using an Agency is that they can quickly assist with finding the right band for you. They have vast knowledge in this area, availability on hundreds of bands and once they have established the type of band you are looking for will recommend bands suitable for you to listen and view online. They do all the legwork for you finding out availability and negotiating the best price for you.

The second advantage of using an Agency is that the Agency draws up the legally approved contracts and they deal with the Invoicing and financial side of the event. This is all done professionally and the contracts are signed by both parties. Garston Entertainments is a full member of The Agents Association of Great Britain and adheres with all codes of conduct

The third advantage of using an Agency is in the event that something goes wrong.  If for some reason the band you’ve chosen has to cancel their performance through an illness for example, then the Agency will endeavour to source and offer you a suitable replacement of similar style, quality and price. Garston Entertainments operate a full emergency standby service, available out of hours from 5pm to 9pm weekdays, and 9am to 9pm on weekends,. If for example, the band is delayed in traffic and have not arrived at the agreed time, you can contact the emergency number and liaise with one of our trained entertainment co-ordinators

7. How much do live band`s cost? 

Prices vary from band to band and can be from a few hundred to several thousand pounds depending on several factors including quality, popularity, size of band, travel distance etc.

Duo prices can start from as little as £250, 4 piece live bands starting fees are from £400 upwards. We have a range of live bands to suit all budgets

8. How Long will the band perform for?

Performance times vary between artistes. It also depends on what your function, party of event requirements are. Performance options when booking your band through Garston are generally as below although we are always happy to speak with the band and adapt to any particular requirements you may have

1. Set list – what songs would you recommend as being the most popular choices, or that go down well at events you perform?

Its important to pick songs that attract people`s attention and get them moving. Whilst we can always bank on the classic soul & motown, it surprising how many age groups actually enjoy the current hits. We try to provide a cross section of 60s/rock and roll/70s/Funk/Soul/Grooves/80s to the latest modern hits.

2. What timings for the band seem to work well at weddings and events?

2 x 45 Minutes is a standard Performance time. However, a 1 Hour or 1 Hour 30 – high intensity upbeat performance also works well. We are happy to adapt our performance time to suit the requirements of the event

3. If a client was to provide you with anything to make your night easier, what would it be?

Wedding gigs and corporate events sometimes include long journeys, lots of waiting around in remote areas. Looking after the band with some light hospitality – a couple of drinks and food make a massive difference and ensure you don’t have any tired/jaded musicians. Just a couple of drinks and a small meal or an invitation to the buffet go a long long way

Its also helpful if there is an area to change (though we appreciate that this is not always feasible). Minimal disturbance during set up and sound check, before the rush of people and high intensity of a wedding or corporate event is also beneficial – the band are often happy to arrive earlier – as a good sound is paramount to doing them justice. Be sure to liaise in detail in advance of the event so there are no hiccups on the day.

4. Are you happy to tailor your set list to suit the client – can they choose your repertoire?

Yes, the band has an extensive set you can choose from. Or you can request particular songs – dependent on the size of the requests we can cater. All of our musicians are top session players.

5. How much equipment can be expected for you to take when booking the full band?

A 6 piece band generally needs a fair amount of space. Don’t forget, the Drum Kit Alone takes a lot of space. Be sure to discuss space requirements with the band or agency and your venue so the musicians have enough space to be comfortable and can perform effectively.

6. How does the ‘DJ Service’ work?

Wedding DJ’s are not the sort of DJs that mix beats and dance music all night. They have to please everybody, therefore mixing between tracks will not involve beat matching – it will be cross fade between songs. We do however have a bank of over 15000 songs which covers all genres including right up to date and is ever increasing.

We are happy to collaborate and provide a set list of DJ music (songs which mean a lot to you and your friends) and tailor make the music, but just be sure to give notice before the event so as to ensure it is all ready and available.

A  DJ service will typically include:

Music played before the band go on (from when the reception starts)

Full use of the PA for announcements (if requested)

Tailor made playlist (or if preferred you can leave it to us)

Music after the band, and during the interval up to the contracted end time.

Lighting for Dance Floor

You will get the equivalent of a standard wedding DJ, for a fraction of the cost because you have already booked the band!

8. Any other advice to add?

The best thing to do for the smooth running of the live entertainment is to ensure proper communication with your band before the event to establish exactly what is required at your party, event or wedding. Your booking agency can put you directly in touch with us. Once this is sorted in advance you can then leave the band to do what they do best and focus on enjoying your night. The less you have to worry about on the day, the better all round.
